Guidelines for Presenters
Thank you for presenting at Transform MedEd 2022!
 
We invite you to prepare your presentation in line with these guidelines. These are intended to ensure your presentation can be displayed at the conference. If you have any questions, please do not hesitate to get in touch with us at: transformmeded@worldspan.co.uk.
 
Please consult your confirmation email in the first instance. This sets out the conference theme and presentation type for your accepted abstract.
 
Please also review the conference programme for the date and time of your session.
 
All presentations must be delivered in person, at the conference in London. If you are unable to attend, you may arrange for a co-author or colleague to present on your behalf. Please provide confirmation to transformmeded@worldspan.co.uk by Thursday 6th October 2022.

These guidelines cover the following conference presentation types:
Short Communications
Up to six presentations in a themed session of 90-minutes.
Each presentation is a maximum of 10-minutes, followed by five minutes discussion.
Workshops
90-minute sessions
Poster Presentations
Three-minute presentation followed by two minutes for discussion
Bright Ideas: Research Presentations
Five-minute research presentations followed by five minutes focused questions and feedback from the audience
Bright Ideas: Research Salon
90-minute session
Please note that presenters and panel members for our conference symposia will be contacted directly by our Theme Leads to discuss arrangements and preparations.

We request that powerpoint presentations are submitted in advance, by email to transformmeded@worldspan.co.uk no later than:
Sunday 16th October 2022 at 23:59 (BST)

Workshop leaders should prepare an interactive learning experience lasting 90-minutes.

It is important that the conference runs to time, so please ensure you plan your session accordingly.

Please do advise us of any specific requirements for room set up or equipment requests via email to transformmeded@worldspan.co.uk by Sunday 16th October 2022.

​Requests will be fulfilled where possible. If additional charges apply we will contact you to discuss further.

Handouts and any session materials are the responsibility of the presenter.

 The Royal Geographical Society and Imperial College London have AV equipment supporting Microsoft Windows only. Unfortunately, Apple computers will not be available. Presenters will not be allowed to use their own laptops/devices.
 
We recommend using the following specifications to obtain the best results with the AV equipment:
  • Microsoft PowerPoint
  • Use screen aspect ratio of 16:9 (widescreen)*
  • The best resolution is 1080p50 (1920 x 1080)
  • Suggested fonts: Arial or any other sans serif font (please only use fonts that are available in Windows otherwise they may not be supported by conference computers)
 
* Preparing your presentation in 16:9 format:
​Microsoft Power Point->Design->Page Setup
Select “Slides sized for” select “On-screen Show (16:9) on the drop-down list
 
Images in your presentation
It is preferable that the images are JPG format. The image resolution should not exceed 1024 x 768 pixels (width by height).
 
Video
Videos are normally shown with VLC, QLab or Quick-time so the format can be MP4/MOV/AVI. No WMF (windows media files).
It is suggested to imbed the video within the PowerPoint presentation.

We recommend that presentations created outside of Microsoft PowerPoint are tested on a Windows computer before submission.
 
Submission of presentation slides
All presentations must be emailed to transformmeded@worldspan.co.uk in advance of the conference by Sunday 16th October 2022 at 23:59 (BST).
 
Some presentations may be recorded for publication on the Transform MedEd website. Consent for this was requested upon abstract submission. If you need more information regarding this, please contact us at transformmeded@worldspan.co.uk.
 
Conflicts of Interest
It is the intent of Imperial College London and LKCMedicine to provide high-quality sessions focused on medical education research, scholarship and innovations free from commercial influence or bias.
 
We ask that all presenters include a slide in their presentation to either declare a conflict of interest or confirm none.

Please ensure there is no material within your presentation which could be seen as marketing a commercial product or programme.
Bright Ideas in medical education is our exciting new conference theme this year.
 
Bright Ideas offers a fresh perspective on the Transform MedEd programme. It is designed for clinical and education professionals at transition points in their careers. These could be new clinicians taking on bedside teaching, early career researchers moving to independent research or senior scholars in transition to leadership roles.
 
Bright Ideas 5-minute research presentations
Authors who have been accepted for the Bright Ideas research presentations should prepare a five-minute presentation. This will be followed by five-minutes of focused questions and feedback from the audience presented in a lively and relaxed carousel format.
 
The research presentations may include unfinished projects or work which participants can’t see how to bring to publication, and which might benefit from a fresh perspective from fellow delegates and experts. The best Bright Ideas will be bold, innovative, and rewarded with an ‘Emerging Researcher Award’ for the presenting author.
 
Research Salon
The Bright Ideas Research Salon is a 90-minute workshop aimed at early career researchers and teachers (60 minutes education activity & 30 minutes networking).
 
Education workshops can follow any format but should aim to be highly interactive. Presenting authors will be expected to host a 30-minute themed networking session alongside their educational activity.
 
Your presentation should include what you think are the most important, revolutionary, and perhaps misunderstood ideas in contemporary research and teaching. We welcome suggestions for theory themed sessions built around a particular strand of scholarship (e.g. using national databases in medical education research, phenomenological research, using interview data, Queering Med Ed) as well as events aimed at supporting particular groups within the Med Ed community to succeed in their careers.
 
When preparing presentations for Bright Ideas sessions, please follow our technical specifications for presentations. 
Guidelines for Poster Presenters  

We are excited to see your work at Transform MedEd 2022! These guidelines are designed to give you the best chance of delegates viewing your poster.  

Your poster should focus on a single message and should be prepared as a source of information provided clearly and succinctly. 

Your poster will have both a physical presence in the venue and can be accessed through the virtual platform. A digital PDF copy of your poster should be emailed to transformmeded@worldspan.co.uk by: Monday 31st October 2022 at 23:59 (BST).

Posters must be printed in advance by the presenting author.  

Please report to Imperial College Main Entrance on the day of your presentation where a colleague will be available to assist you with the display.

1. Poster Specifications 
  • Please create your poster on an A1 size template.  
  • ​The orientation format of your poster should be landscape. 
  • Posters should display the title (as submitted in your abstract), authors (underline presenting author’s name), institutions and affiliations. 
  • Every element, including graphs and tables, should be readable from a distance of 1.5 – 2 meters. 
  • It is recommended that line spacing is between 1.25 and 1.5 
 
2. Accessible video summary 

Unfortunately, not everyone attending the conference will get a chance to see your presentation during your allotted presentation time. Pre-recorded videos can be uploaded to the virtual platform, allowing more people to find out about your work.

Videos should be no longer than 2 minutes and should be submitted in MP4 format, to transformmeded@worldspan.co.uk by Monday 31st October 2022 at 23:59 (BST). 
 
3. Display and presentation 
An electronic version of your poster will be made available to delegates on the Transform MedEd conference app.
Please email a PDF version to transformmeded@worldspan.co.uk by Monday 31st October 2022 at 23:59 (BST).  

4. Conflicts of Interest
