Guidelines for Presenters

These guidelines are intended to ensure your presentation can be displayed with no issues at the conference. If you have any questions please don’t hesitate to get in touch: transformmeded2020@in-conference.org.uk.
 
Each short communications presenter will have 10 minutes for their presentation. If you are presenting a workshop, you will have 1 hour 30 minutes in total for your workshop. You will be allocated a timeslot for your presentation. The programme is tight so please ensure you plan your slides accordingly. A facilitator will be assigned to your session and will prompt you when your presentation slot is nearing the end.

1) Technical Specifications
The Royal Geographical Society and Imperial College London have AV equipment supporting Microsoft Windows only. Unfortunately, Apple computers will not be available, and presenters will not be allowed to use their own laptops/devices. We recommend using the following specifications to obtain the best results with the present AV equipment:
  • Microsoft PowerPoint
  • Use screen aspect ratio of 16:9 (widescreen)*
  • The best resolution is 1080p50 (1920 x 1080)
  • Suggested fonts: Arial or any other sans serif font (please only use fonts that are available in Windows otherwise they may not be supported by conference computers)
  • Images in your presentation: It is preferable that the images are JPG format. The image resolution should not exceed 1024 x 768 pixels (width by height).
  • Videos are shown with VLC, QLab, Quick-time or via a Blu-ray player. Video Formats that will be accepted include MP4/MOV/AVI. It is recommended that videos are embedded within your presentation.

We recommend that presentations created outside of Microsoft Powerpoint are tested on a Windows computer before submission.
 
2) Submission of presentation slides and presentation details
All presentations must be provided in advance of the conference and uploaded to the personalised link included in your acceptance email by Friday 28th February 2020. If you have any problems accessing the link please email transformmeded2020@in-conference.org.uk. 
There will be a presenter’s room at the conference venue where you will be able to check your slides and are welcome to do so in advance of your presentation.

Some presentations may be recorded for publication on the Transform MedEd Youtube channel. When registering your place online you will be asked to confirm your consent for your presentation to be recorded at and for any recording of your presentation to be shared. 


3) Conflict of Interest
It is the intent of Imperial College London and LKCMedicine to provide high-quality sessions focused on medical education research, scholarship and innovations free from commercial influence or bias.
We ask that all presenters include a slide in their presentation to either declare a conflict of interest or confirm none. A template slide can be downloaded here.

Please ensure there is no material within your presentation which could be seen as marketing a commercial product or Programme.
 

4) Conference Registration
All presenting authors must register for the Transform MedEd 2020 by Friday 29 November 2019 or their abstract(s) will be automatically withdrawn. Please visit the www.transformmeded.org to register.

  • Microsoft Power Point->Design->Page Setup
  • Select “Slides sized for” select “On-screen Show (16:9) on the drop-down list.



Guidelines for Poster Presenters

We are excited to see your work at Transform MedEd 2020! These guidelines are designed to give you the best chance of people viewing your poster. All posters should be printed in advance and brought to the conference by the presenting author.

1) Poster Presentation Specifications
  • Poster maximum size: A0
  • The orientation format of your poster should be portrait.
  • Posters should display the title (as submitted in your abstract), authors (underline presenting author’s name), institutions and affiliations.
  • Every element, including graphs and tables, should be readable from a distance of 1.5 – 2 meters.
  • It is recommended that line spacing is between 1.25 and 1.5

2) QR code accessible video summary
Unfortunately, not everyone attending the conference will get a chance to see your presentation during your allotted presentation time. Providing a QR code linking to a short, pre-recorded presentation will allow more people to find out about your work. Videos should be no longer than 2 minutes and will be shared via the Transform MedEd Youtube channel following the conference. Videos should be sent to transformmeded2020@in-conference.org.uk by 31st January 2020.  If you do not want your video to be published on Transform MedEd channels, please state this in your email.

3) Display and presentation
An electronic version of your poster will be made available to delegates on the Transform MedEd conference app. A PDF version will need to be uploaded to this page by Friday 14th February 2020.

Set-up and dismantle: Authors are invited to set up their poster from 7am on Friday 13th March. Posters will need to be dismantled between 2pm – 4pm on Saturday 14th March. We are afraid we are unable to store any posters following the conference and any posters not collected by authors by the end of the day on Saturday will be removed and disposed of.

Each poster board will be numbered, corresponding with your poster number. A list will be available onsite with the reference number, poster title and name of presenting author. Suitable fixing materials will be provided on site.

You will be allocated a presenting slot when you will be required to be available at your poster to present the content. Delegates will be reminded about QR codes linking to your recorded presentation should they not be available to join you for your presenting slot.

4) Conflict of Interest
